In Search of a New Registrar…

After seventeen years on the Camden Alumni Association Board of Directors, serving the past five years as Registrar, including the current term, I am officially submitting my resignation from the Camden Alumni Board of Directors, effective June 11, 2022. I served for twelve years as a Membership Director, starting in 2005, before moving up to Registrar with the sudden resignation of Scott Souva in 2017. It is now time for me to step aside and let another take over the role of Registrar.

It is time to train someone to take over the role of Registrar for the 2022-2023 term. The plan ahead is to find a qualified alumni volunteer to step up to the role of Registrar on June 11, 2022, and from that point, with some help from me as an “outside the board Registrar Mentor”, learn the ins and outs of how we process all the alumni data, dues payments, scholarship donations and banquet reservations.

The Major Duties of the Registrar consist of:

  1. Carrying out tasks assigned by the Board or the President.
  2. Maintaining an up-to-date record of all active and inactive members of the Association, including:
    • Requesting a list of recent graduates with contact information from the High School Guidance Office every August.
    • Tracking local obituaries and death notices received from other alumni and making note of deaths in the database records.
  3. Performing the registration tasks for the Association Annual Meeting and Banquet and maintain a record of donations to the Alumni Scholarship Fund by:
    • Processing all incoming mailed and online dues and scholarship donations.
    • Preparing monthly or semi-monthly deposits for the Treasurer.
  4. Assisting the 1st Vice President in the process of organizing and conducting the Annual Meeting and Banquet.
  5. Work on increasing active membership in the Association, in cooperation with the 2nd Vice President and Membership Directors.

The complete list of duties on a monthly basis can be found by CLICKING HERE for a PDF download.

From Mid-April until the Annual Meeting & Banquet in Mid-June is the busiest time for the Registrar, handling both postal mail and online dues, scholarship donations and banquet reservations. You can expect to process anywhere from 15 to 50 payments a week, and if you do it on a weekly basis, plan on it taking a couple hours of your time each week. If you can handle them on a day by day basis, it might be 15-45 minutes a day depending on the daily volume…

The remainder of the year is much less busy, handling the occasional payment and reviewing obituaries. I get email updates from all the local funeral homes, and just look to see if anyone is listed as a Camden graduate, and update the database as necessary.

You do need to be comfortable working on computer databases, we use FileMaker Pro for maintaining our database and handling many of the forms and output needed for both the Banquet and contacting our alumni membership. Even if you have no experience with FileMaker Pro, but are comfortable working on a computer, the plan is for you to work with me until you are comfortable with the program yourself. As the Registrar Mentor, I will also be accessing the FileMaker Pro database, so I will still be there for assistance and questions…

The only requirements to be considered for the role of Registrar are:

  • You are a Camden Graduate/Alumni.
  • Are an active member, paying your $5 annual dues.
[YOU CAN PAY YOUR DUES IMMEDIATELY TO FULFILL THIS REQUIREMENT, IF YOU ARE NOT UP-TO-DATE ON YOUR ANNUAL DUES!]
  • You live in the local Camden/Rome/Oneida area, so you can easily attend the 3-4 in person board meetings per year and deliver deposits to the Treasurer.

If you are interested, or know of another Camden Alumni who might be interested, in this opportunity to assist in the management of the Camden Alumni Association and are willing to commit to a few years working as the Registrar, please let us know.

2022 Annual Banquet Plans – Update #2

Confirmed Banquet Details

Saturday, June 11, 2022
Camden High School Cafeteria
Catered by: Dean’s Concessions

At this time, we can confirm the 2022 Camden Alumni Association Annual Banquet has been reserved with the High School and with Dean’s Concessions.

We are looking forward to resuming our Annual Alumni Banquets this June, and it looks like conditions this year will allow us to do so safely. Our confirmed date for the 2022 Banquet is Saturday, June 11th.

Due to the recent increases in costs we are all well aware of, the ticket price for the banquet will have to increase to somewhere between $22 to $27 per person, we are still working on the menu details with Dean’s Concessions to continue offering a quality meal at the lowest possible costs to our alumni.

Also, it is also our plan to award eight $1,250 scholarships to deserving graduating seniors this year, due to the generous level of donations received this past year.

In mid to late-April, we will be sending out an email and/or a postal mailer to our alumni with the final banquet details (or alternate plans). We will also be asking you for your annual membership dues and any scholarship donation you would like to make for this year to help us fund next year’s activities and scholarships. We greatly appreciate your support at that time.

The 2022 Banquet will be a 2020-2022 Mega-Banquet honoring the 50-Year Classes of 1970 and 1971 that missed their special year the past two years, along with the current 50-Year Class of 1972!

Please stay tuned for future updates on the plans for the 2022 Annual Alumni Banquet.
